Save smart: Cost-cutting tips for event organizers
Planning an event is a bit like planning a party on a champagne vision with a prosecco budget. You want big impact with half the spend. As event organizers ourselves, we’ve been down that route one too many times and here are some tried and tested tips to help you cut back on the costs without cutting corners.
1. Pick off-peak dates
Venues and vendors love flexibility. Weekdays, Sunday afternoons, or even mornings are often cheaper than Friday and Saturday prime time.
2. Use what you’ve got (or what friends have)
Before renting that $500 projector or designer furniture set, ask around. You’ll be surprised at what your network has.
3. Find a venue partner, not just a provider
Consider co-hosting with a café, coworking space, or a community hubl. They have offer the space for free or a discounted rate, in exchange for exposure or a profit share.
4. Ditch the fancy print
Those glossy programs? Swap them for QR codes leading to digital agendas. It’s sustainable and saves on printing.
5. Lean on sponsors
Not all sponsorship has to be cash. Ask brands for product samples, venue space, swag, or even snacks. You give them the opportunity to showcase their products, they give you budget relief.
6. Consolidate vendors
The more services you book with one vendor, the better your leverage for discounts. Bundle catering, rentals, and staffing where you can.
7. Use free or low-cost tools
Skip expensive platforms if simpler ones work just fine. Tools like Canva (design), Google Forms (RSVPs), and Peatix (ticketing) offer robust features at low or no cost.
8. Plan early, book early
Last-minute bookings can hike up prices. The earlier you plan, the better your chance of locking in early-bird deals.
